JOB SUMMARY:

Reporting to the Associate Director (International), the incumbent supports the professional operation of the Office of the Associate Vice-Principal (International). The incumbent is primarily responsible for the coordination, planning and delivery of international delegation visits to and from the campus, assisting with the establishment and processing of academic mobility agreements, developing and implementing on-campus international events, and assisting with or leading the delivery of strategic projects as assigned.  The incumbent will also serve as an internal liaison with units across campus and as an external liaison with international partners and organizations, conduct research, draft reports and policies, prepare correspondence, and provide administrative support on priority unit initiatives.

KEY RESPONSIBILITIES:  

  • Plan, manage and coordinate strategic projects as assigned, and assist on projects assigned to other team members.
  • Coordinate visits by international delegates to Queen’s campus and events hosted by the unit. Assist in planning outgoing visits for the Associate Vice-Principal (International) and other senior administrators.
  • Assist with the establishment and renewal of academic mobility agreements between the University and international partner institutions, in consultation with faculties and the Coordinator, International Agreements and Partnerships.
  • Develop and implement on-campus international events and programs.
  • Act as a primary contact and liaison for internal/external stakeholders, and provide guidance and advice to stakeholders as appropriate.
  • Administer internal and external international-related award programs as assigned.
  • Serve on and/or provide administrative and logistical support for designated committees relating to international initiatives.
  • Provide support for the development and the timely implementation of communications and marketing strategies for events and other activities.
  • Conduct research, compile statistics, and provide general administrative support to maximize the efficiency and effectiveness of the unit.
  • Compose briefing notes, agendas, project plans, web content, meeting materials, and reports.
  • Ensure all unit members are informed of important matters or decisions relating to assigned activities or projects, and provide Associate Director with regular updates of any activities relating to assigned projects.
  • Serve as back-up to other team members as assigned (e.g. general international email accounts, meeting preparation, website maintenance, etc.).
  • Undertake other duties in support of the unit.

REQUIRED QUALIFICATIONS:  

  • A university degree and demonstrated experience in project management, event management, and administrative support.
  • Previous experience in a service-oriented administrative office in a coordinating/advising role.
  • Proven ability to work effectively with diverse stakeholders, demonstrating sensitivity to cultural differences. Proven commitment to equity, diversity and inclusion in past work experience.
  • Previous experience in the development of contracts would be considered an asset.
  • Consideration will be given to an equivalent combination of education and experience.

  • Ability to engage and work professionally, diplomatically and to a high standard with diverse stakeholders, both externally and at all levels of the university.
  • Ability and willingness to provide high-quality support to units across the university in achieving Queen’s international objectives.
  • Proven interpersonal, communication and presentation skills (written and oral).
  • Exceptional organizational and project management skills; ability to cope with multiple demands, manage competing priorities, and meet deadlines.
  • Ability to work well as a member of a team, collaborating with others in a fast-paced, challenging, and changing environment.
  • Personal initiative and the ability to work with limited day-to-day supervision, while recognizing when it is appropriate to consult others on the team.
  • Ability to work appropriately with confidential information.
  • Strong analytical and problem-solving skills, and excellent attention to detail.
  • High level of competency in computer skills (MS Office, databases, project management software), and competency and versatility in the use of the internet software.
  • Understanding and sensitivity to diverse cultural backgrounds.

DECISION MAKING:

  • Prioritize work in a demanding environment.
  • Make recommendations regarding the execution and improvement of projects.
  • Make decisions regarding the establishment and renewal of academic mobility agreements in consultation with the Coordinator, International Agreements and Partnerships.
  • Recommend the most appropriate program and schedules to meet the needs of visitors and departments, and make decisions about event development and logistics in consultation with senior administrators.
  • Determine content/substance of materials, including reports, briefing notes, and communications for a variety of audiences.
  • Determine the content of correspondence for own signature.
