Tides Canada is seeking to fill a position that provides key support to Tides Canada’s Northern initiatives and projects across the three territories and four Inuit regions.

The Position

The Northern Program Specialist provides programmatic and administrative support for Tides Canada’s Northern initiatives and projects. The Specialist:


  • assists the implementation of granting portfolios for multiple funders, grantees, and community partners;

  • maintains relationships with funders, grantees, governments, Indigenous organizations, and communities;

  • coordinates various strategic programs;

  • provides direct support and advice to a portfolio of operating charitable initiatives on Tides Canada’s Shared Platform located primarily in the North. This includes day-to-day management of activities, orientation of new projects, and acting as liaison with other Tides Canada departments; and

  • supports an evaluation framework for northern initiatives


The Northern Program Specialist reports to the Program Lead, Northern Canada based in Yellowknife, and receives additional direction from the Director, Shared Platform based in Vancouver.


Primary Responsibilities:


Strategic Programs


  • Liaise with and support grantees to ensure that proposal invitations, reports, and financial documents are received in a timely manner and reviewed to meet the needs of work plans, budgets and guidelines

  • Coordinate timely and accurate grant docket management by independently judging the support needs of grantees and the Program Lead, Northern Canada

  • Support the Program Lead, Northern Canada in accountabilities to partners and funders, including proposals, initiative development and implementation, reporting and evaluation

  • Participate in all aspects of team work flow, including project management, shared accountability for revenue and expense management, and delivering of outcomes

  • Track and help manage timelines and work plans associated with funders, grantees, program delivery, and reporting

  • Manage large multi-year programmatic budgets with Finance personnel

  • Represent Tides Canada at meetings, workshops, and conferences as needed


Shared Platform


  • Provide a portfolio of diverse, primarily northern projects with front-line, day-to-day support including grants management, preparation of contracts, financial review, and timely and informative responses to requests

  • Assist projects with funder communications, ensuring timely submission of all funding proposals and reports; manage project grants to ensure all commitments are met

  • Determine when vendor contracts are required; assist with development of deliverables; monitor required reporting and payments

  • Review leases and other significant contractual arrangements

  • Collaborate with the finance department to ensure effective and efficient financial management of projects including reviewing monthly financial statements, monitoring and addressing financial health and sustainability of projects

  • Actively manage risk to Tides Canada Initiatives (TCI) and its projects through day-to-day issue identification and problem solving, monitoring compliance with project Terms of Reference, and ensuring each project is appropriately insured

  • Work with projects to monitor and track political activity, fundraising activity and other T3010 reporting requirements

  • Review donation and grant acknowledgment letters and revise content when needed

  • Facilitate intake of new projects in concert with all Tides Canada departments

  • Participate in the recruitment of new Project Directors; work with HR to ensure job postings are in line with TCI requirements and participate in interview process together with Steering Committees


Secondary Responsibilities:


  • Become acquainted with the regional and issue-based context of the initiatives and projects

  • Provide logistical oversight for meetings of grantees, funders and regional partners both in house and externally

  • Organize internal and external meetings, when necessary, including agenda preparation, scheduling, and note taking

  • Work with Tides Canada teams on implementation of improvements to systems, processes and resources

  • Monitoring and tracking trends within project and grantee communities that inform planning and business development




  • 3-4 years’ experience in a legal, business, financial management, and/or project management/administration environment demonstrating competency with business operations
  • 2-3 years’ experience managing databases

  • Experience with small or start-up organizations or initiatives; comfortable working with different organizational cultures

  • Understanding the aspirations of northern peoples and the environmental and socio-economic realities and opportunities across northern Canada

  • Working knowledge of fundraising, grant development, and reporting

  • Exceptional service orientation and interpersonal skills

  • Strong written and verbal communication proficiencies

  • Strong computer skills with proficiency in Microsoft Office applications. Expertise with Salesforce an asset.

  • Extreme attention to detail and accuracy

  • Proactive problem-solver

  • Flexible, adaptive and able to work both collaboratively in a team environment and independently



    • Indigenous northerner or northern resident

    • Working knowledge of the charitable regulatory environment and reporting requirements

    • Experience in general financial oversight

    • Experience with contracts and other legal documents

    • A desire to learn and a curiosity around the subject matter of the portfolios we manage and lead
