Senior Manager, Donor Financial Services

POSITION: Full-time,18 month contract

DEPARTMENT: Finance and Administration

REPORTS TO: Vice President, Finance and Administration

BASIC FUNCTION: Manage and oversee the Donor Financial Services function, and to ensure efficient and accurate data entry, processing deadlines are met, and effective and efficient customer service practices are applied within the department


  • Oversee all aspects of the donations processing function, including workplace, leadership, direct response, divisional/national, website and e-business, special events, depositing of campaign proceeds, data entry, verification, control activities and ensuring that deadlines are met
  • Manage receipt production in Constituent Relationship Management (CRM) system, including ensuring accuracy of receipt information, identifying issues and enhancement opportunities, developing and testing potential solutions, recommending process improvements, documenting the solution and training the team, liaising with the Donor Relations & Marketing department and donors as required
  • Manage data entry workflow priorities, redeploying staff as required to ensure all donations are processed within expected timelines
  • Oversee the completion of the National Online Reporting Tool (NORT) reporting for the Government of Canada Workplace Charitable Campaign
  • Manage the Centrally Coordinated Campaign costing review and provide annual cost to VP, Finance & Administration
  • Recruit, hire, train and supervise temporary seasonal staff (up to 10 staff). Coach, counsel, motivate and monitor performance of 4 permanent staff including managers
  • Develop training and facilitate annual workshops on processing and finance issues for Sponsored Employees and Campaign Volunteers
  • Act as department representative in cross departmental initiatives and projects, lending functional expertise toward achieving agreed upon organizational goals
  • Assist in the resolution of import system issues and the development and implementation of system design/enhancements. Responsible for end user testing of all processing related products on CRM
  • Manage customer service provided internally and externally in all aspects of the Donor Financial Services area
  • Maintain and monitor existing security initiatives for the processing area
  • Provide support/knowledge of processing methods and needs to special projects as needed; includes items such as the launch of new business products (e-Business)
  • Manage the outsourcing of data entry work to outside data processing firms. Liaise with outside companies regarding UWTYR’s needs and system design.
  • Maintain donor confidentiality in all activities at UWTYR and ensure compliance with privacy legislation


  • More than 5 years of work-related experience
  • Demonstrated abilities in the reimagining, reengineering of business processes and realignment of business units
  • Demonstrated strong political savvy to successfully interact, negotiate, influence, network and effectively build partnerships with internal and external stakeholders to achieve organizational objectives
  • Experience working on systems design with programming specialists
  • Technical knowledge/expertise with respect to the handling/processing of Gift of Securities transactions and complex pricing models
  • Knowledge and experience with data entry systems ideally in a fundraising environment
  • People manager with proven experience leading and training a team of direct reports
  • Demonstrated commitment to customer service
  • Highly developed analytical skills with ability to conduct research and use independent judgement to problem solve
  • Ability to coordinate complex projects and develop plans regarding the activity and strategy for an entire department
  • Demonstrated ability to effectively manage, foster and grow constituent relationships
  • Proven organizational abilities and the ability to manage competing priorities and meet deadlines under pressure
  • Proven ability to take initiative and carry projects to completion with minimum supervision
  • Strong communication and presentation skills (both written and verbal)
  • Strong PC skills including MS Word, Excel, and exposure to fundraising software
