Administrative Assistant (Rental Property)



Job Description

Burnhamdale Investments Ltd. is a small property management firm. We oversee 149 townhouses and rental units in the Mississauga area. We have proudly been operating in Mississauga for 40 years, and are located near the Dixie and Burnhamthorpe area.

We are currently seeking a dynamic Administrative Assistant with property rental experience to join our team. As the successful candidate, you must be independent and organized, and love a role where no two days are the same. You will have excellent problem-solving skills, and the ability to ask the right questions to most effectively help our tenants. This is a small office, so you must be self-directed and able to work with minimal supervision.

More about the role:

Daily Duties:

  • Rentals: Check VIEWIT ID’s, and ensure ads are live; respond to rental inquiries; facilitate showings
  • Work Orders: Monitor requests; full out work orders for maintenance; logging requests and progress; ensure maintenance is informed and scheduled for completion
  • Questions/Escalations: Handle any complaints, questions or requests that come from tenants to Head Office, to ensure they are addressed in a timely manner
  • Rent Deposits/Collection of Rent: Check cheques for accuracy; prepare bank deposits; follow up on delinquent payment

Weekly Duties:

  • Filing/Data Management: Ensure filing is up to date; record completed work orders in log book; maintain e-mail database; coordination and scheduling of contractors


  • New Tenants: Prepare lease requirement letters; prepare leases; prepare move-in packages, assist with utilities hook-up requests; maintain new contact information; maintain accurate parking information

What you bring:

  • Willingness to work Saturdays from 11 AM - 4 PM is critical for role selection
    Excellent communication skills (written, comprehension, spoken) in English is mandatory
  • Good numeracy skills
  • Excellent conflict-resolution skills, with the ability to handle complaints and questions calmly and efficiently
  • Must be a team-player, show initiative, and enjoy being organized
  • Basic computer skills: Excel, Word, Outlook email is required
  • Most importantly: You must be a people person! You must be a positive individual who enjoys meeting people from a variety of backgrounds and cultures. This attribute is KEY to success in this role!

Additional requirements:

  • Vehicle and a valid driver’s license would be an asset
  • Applicant should be willing to be flexible as to start & end times, with some evenings, depending on the season (no later than 7PM)
  • Applicant will often be in the Rental Office alone; must be comfortable working effectively in such an environment

Note, this role is physically demanding in that you will be required to actively show potential renters around our townhouse complex - this is not a building, but an outdoor campus -- this is not a position where extended sitting is required!
